Aurora Beats is a centralized festival management console designed to simplify the orchestration of large-scale live music events. It brings together everything from artist scheduling and vendor coordination to logistics and live operations , all within a single, real-time dashboard.
The goal was to build a high-performance operations platform that feels as dynamic and creative as the festivals it powers.

Challenge

Managing live festivals involves thousands of moving parts , from artist check-ins and vendor permits to security coordination and crowd updates. Existing event management tools are often fragmented, outdated, or overly complex, leading to poor communication and operational delays. Aurora Beats set out to design a unified command center that empowers organizers and crews to collaborate seamlessly, visualize operations in real-time, and respond instantly to on-ground changes.

Results

During prototype validation and interactive demos:

Process

Research & Analysis: The project began by analyzing how real festivals are managed , mapping out workflows for artist, vendors and logistics teams. I studied event operation software and ERP dashboards (like Airtable, Asana, and Backstage.io) to identify friction points in live coordination systems.


Information Architecture: Structured the system around modular, role-based dashboards for each function. The IA emphasized quick-switch navigation, real-time status updates, and clear data visualization.


Wireframing & Prototyping: Low-fidelity sketches were created to define the dashboard flow , from global metrics to deep module pages.
High-fidelity prototypes focused on speed, clarity and visual rhythm, integrating micro-interactions to simulate live data and stage transitions.


Usability Testing: Early testers (representing operations and logistics roles) praised the live map and scheduling grid for their intuitiveness.
Feedback led to refinements in the notification hierarchy and color-coded system alerts to avoid visual clutter during high-stress moments.


Visual Design & Style Guide: Vibrant yet precise, inspired by the stage lights, soundboards, and control hubs of real festivals.
